MEMBERSHIP


The subscription covers most meetings but we do have to make an extra charge for events such as Weihnachtsfeier.

We are always happy to welcome visitors and guests to our meetings. However, in order to ensure the financial viability of the society we depend on membership subscriptions.
For this reason you are encouraged to become a paid-up member of the society.

DATA PROTECTION PROCEDURES

 

GENERAL

The following risks have been identified in relation to the protection of data held by The Cheltenham German Club (‘the Club’) relating to members including previous year members (‘Members’), guest speakers and other persons connected to the Club (‘Friends’):

  1. misuse of personal data by members, guests and guest speakers and other persons connected to the Club with access to the personal information of others
  2. unauthorised access to personal data held on the computers of the Club’s Committee and other storage devices
  3. access to any personal data held on the Club’s website as a consequence of inadequate security of content
  4. deliberate or inadvertent disclosure of personal data by members and other persons connected to the Club

 

DATA INPUT

Data Protection procedures for ensuring that the personal data relating to members and other persons connected to the Club are accurate and complete and maintained in accordance with Data Protection policy are the responsibility of the Committee.

Personal data in relation to

  1. members – input only by Committee members and reviewed periodically by the Club’s Committee
  2. other persons connected to the Club (e.g. guests,  guest speakers, Friends) – input by Committee members and reviewed periodically by the Club’s Committee

 

DATA RECORDS/STORAGE

Personal contact data in relation to Members, Friends and guest speakers are stored as master copies respectively in the Members List, Friends Mailing List and Guest Speakers List. One Committee member is responsible for storing and maintaining each master list.

Personal contact data of all members including Committee members and guest speakers comprises:

  1. Names
  2. Addresses
  3. Telephone numbers
  4. Email addresses
  5. Start date of, as appropriate, membership, consent to join the Mailing List, or contact with guest speaker

The Committee member holding the master of each list is responsible for ensuring the list is backed up and sharing the list whenever updated with such other members of the Committee as may need these data in the execution of their Committee responsibilities.

Each Committee member may hold members, Friends or guest speakers’ contact details in their own computer address books and is responsible for updating or deleting them on receipt of an updated master list and upon standing down from the Committee.

The lists are not shared outside of the Committee.

In addition to the Members List, the Treasurer holds and maintains records of members’ subscription payments.

In addition to the Friends Mailing List, the Committee member responsible for Club communications holds records of Friends’ consents to telephone, email, and postal contact.

Personal data held by the Club are not shared with third parties except by consent. Record of such consent will be stored along with the relevant List.

Access to such home based computers is password protected; passwords are known only to the owners of the individual personal computers.

Personal data of guests is not requested or kept.

Personal data relating to all members, Friends or guest speakers is not held on the website with the exception for contact purposes of the website master and the Treasurer.

 

CCTV

There is no closed circuit TV in operation at the premises where meetings are held.

 

REVIEW OF DATA PROTECTION PROCEDURES

The Procedures are reviewed by the Committee on an annual basis.

 

APPROVAL

The Policy was confirmed by the Club  Committee On 2 May 2018.
